Cancellation Policy

At MindfulWell, we honour your time and the time of our practitioners. To ensure fairness and availability for all clients, we kindly ask that any cancellations or changes are made with adequate notice.

A booking fee is required at the time of booking to secure your appointment.
We require a minimum of 24 hours’ notice to cancel or reschedule an appointment.

Late Cancellations

A late cancellation is any appointment cancelled with less than 24 hours’ notice.

  • Late cancellations may incur a 50% session fee
  • This allows us to respect practitioner time and offer availability to others

No-Shows

If you do not attend your scheduled appointment and have not made prior contact:

  • The full session fee (100%) will be charged
  • Applies to all services including counselling, coaching, and private sessions

Retreats, Workshops & Group Programmes

  • Deposits are non-refundable
  • Cancellations within 7 days of the event may not be refunded
  • You may transfer your space to another person (with prior approval)

Rescheduling

We understand that life happens. Where possible, we will aim to support you by:

  • Rescheduling your session within the same week
  • Offering online/telehealth alternatives if appropriate

Illness & Emergencies

If you are unwell or experiencing an emergency:

  • Please contact us as soon as possible
  • Fees may be waived at our discretion in genuine circumstances

Late Arrivals

  • Sessions will still end at the scheduled time
  • Full session fees apply

Why This Matters

Missed appointments impact not only our practitioners, but also other women and youth waiting for support. Providing notice allows us to offer that time to someone else in need.
